CNC Brass Parts RFQ Guide: Drawing, Material, Threads, Finish and Inspection

A useful CNC brass parts RFQ does more than name a part and attach a model. It identifies which document controls, who owns the brass designation, which interfaces affect fit or function, how threads will be accepted, what surface state is required, and what inspection evidence must accompany samples or production lots.

Freeze document authority before asking for a quote

Identify the controlling 2D drawing, 3D model and revision. When both files are supplied, state which one governs dimensions, tolerances, notes and acceptance. A model may communicate shape while the drawing controls threads, surface finish, general tolerances, inspection notes and marking. If the files disagree, the RFQ should name the approval path rather than letting the supplier choose silently.

Also define units, drawing standard, part number, revision, application interfaces and any supplied mating-part information. Mark reference dimensions separately from acceptance characteristics. If the design is changing, use the engineering change control checklist to control the baseline used for the quotation.

Assign brass designation and substitution responsibility

Brass is a material family, not a complete purchasing specification. State the required designation and governing material specification when design authority has selected them. If a supplier may propose an alternative, define which properties, regulatory constraints, downstream operations and functional interfaces the alternative must protect, and identify who may approve it.

Do not assume that similar colour or a familiar trade name makes two brass designations interchangeable. Composition, machinability, forming response, joining, plating response, environmental restrictions and application suitability can differ. A quotation should record whether the material is buyer-mandated, supplier-proposed subject to approval, or still open for engineering review.

Specify the evidence expected with samples or production when material confirmation matters. The RFQ should define the required record and its linkage to the supplied lot; this page does not promise a universal certificate package.

Turn function into a characteristic list

Explain what the component does in the assembly. Threads, bores, shoulders, sealing faces, electrical contact zones, locating diameters and cosmetic surfaces do not carry the same risk. Mark the interfaces that protect assembly, alignment, motion, sealing, retention, grounding, conductivity or appearance, then connect each critical characteristic to an acceptance method.

A blanket tight tolerance on every feature can increase cost without clarifying function. A better RFQ distinguishes:

  • critical interfaces that directly affect fit or function;
  • process-sensitive features such as thin walls, deep bores, cross-holes, interrupted cuts or long slender sections;
  • finish-sensitive features whose final size or contact condition changes after plating or polishing;
  • reference features that communicate design intent but are not independent acceptance requirements.

Specify threads as an interface, not a label

Thread callouts should identify the system, nominal size, pitch or threads per inch, class or tolerance, handedness, engagement length and any special start, runout, relief or shoulder relationship. State whether the mating component is available for review and whether acceptance uses a defined gauge, mating part or another agreed method.

For tapered or sealing threads, identify the governing specification and the functional responsibility. Do not treat a thread label alone as proof of sealing. The complete assembly, seal system, installation method and validation owner still need to be defined by the project.

When the part receives a finish, say whether thread acceptance applies before or after finishing. Masking, allowance and gauge condition should be agreed before quotation. Otherwise a part can meet the machining definition and still fail at assembly after the surface state changes.

Define finish zones and post-finish dimensions

Name the requested surface state and specification. Identify functional, cosmetic, contact, sealing, masked and no-finish zones on the drawing. If thickness, colour, texture, adhesion, corrosion behaviour, solderability, conductivity or another performance property matters, state the test or acceptance responsibility instead of relying on a finish name alone.

Clarify whether dimensions apply before or after finishing. Bores, threads, press fits, contact areas and sealing interfaces may need an explicit final-state requirement. The quotation should also state whether finishing is included in the supplier scope, coordinated through an external process, or supplied by the buyer.

Match inspection evidence to the buyer risk

Inspection should be characteristic-specific. For each critical item, define the drawing reference, nominal and limit, datum, measurement condition, method, sampling or frequency expectation, and evidence required. A generic request for a dimensional report does not tell the supplier whether the buyer expects first-article results, a lot report, gauge evidence, material records or retained data.

Plan sample approval and production release separately

A sample approval proves only the defined sample state. It does not automatically establish the sampling plan, process controls or release evidence for every future lot. Record whether the first submission is for fit review, dimensional approval, finish approval, functional validation or full production release. State which party owns assembly, electrical, corrosion, pressure, life or other system-level validation.

When a deviation is proposed, identify the affected characteristic, quantity, duration, traceability and approving authority. The accepted deviation should not silently become the production drawing. Link approved changes back to the controlled revision and purchase documents.

Protect threads and surfaces during packaging

Packaging is part of the supplied condition when threads, sealing faces, polished areas, plated zones or small features can be damaged in handling. Define separators, caps, trays, bags, quantity per pack, orientation restrictions, labels and lot identification as needed. If the part must remain free from a particular contaminant or handling mark, state the requirement and acceptance method in the project package.

Frequently asked questions

Can a CNC brass part be quoted from a sample or photograph?

A sample or photograph can support an initial discussion, but it does not define hidden geometry, material designation, thread class, tolerances, finish specification or acceptance. The buyer and supplier must agree on a controlled reconstruction or drawing package before production scope is clear.

Should the supplier choose the brass designation?

Only when the buyer authorizes a proposal route and defines the properties, restrictions and approval responsibility. If the design authority has already selected the designation, the RFQ should state it directly.

When should threads be checked after finishing?

When the finish can affect fit or the drawing defines the final supplied condition. The RFQ should identify masking or allowance, gauge condition and whether acceptance applies before or after finishing.

Does a dimensional report prove functional performance?

No. Dimensional evidence proves only the listed characteristics in the stated measurement condition. Assembly, sealing, electrical, corrosion, pressure, life or other performance remains a separate responsibility unless the project scope explicitly defines and validates it.
